What is pet insurance?

Pet insurance offers pet parents financial protection and peace of mind in the event of unexpected accidents, illnesses, or other health concerns.

Coverage typically includes expenses related to physical harm, such as injuries from accidents, illnesses, and any changes to your pet’s normal healthy state that are not linked to pre-existing conditions.

Why is it important to find a veterinarian?

Finding and building a relationship with a trusted veterinarian is one of the most important things you can do for your pet’s health and well-being. Just like people, pets need regular checkups, preventative care, and someone to turn to when something seems off.

A veterinarian not only helps keep your pet healthy through vaccinations and wellness exams, but also becomes a vital partner in identifying and treating issues early, often before they become more serious or costly. Having a vet you trust means peace of mind, knowing you have expert support to guide you through every stage of your pet’s life.

    Policy Information

Curious about what your policy includes? This section breaks down all the key details, from waiting periods and pre-existing conditions, to exclusions, term lengths, and more, so you know exactly how your coverage works.

    Pre-Existing Conditions

Pre-existing conditions include any illness or injury for which your pet showed signs or symptoms, received treatment for, or was diagnosed within 18 months before your policy’s effective date or during the waiting periods. Additionally, certain conditions that were present for the lifetime of your pet may also be considered pre-existing. (Please see your specific policy document for more information).

Pre-existing conditions are not covered under your Odie insurance policy; however, other unrelated conditions or injuries that occur after the policy’s effective date, and the expiration of waiting periods, are typically eligible for coverage, subject to the policy’s terms, conditions, and exclusions.

Our team will review your claim and email you if we need additional details for processing. We require your pet’s medical records, if you don’t have them, you can request them from your veterinarian.

These medical records should include vital signs, patient history, clinical assessments, treatment plans, and prescribed medications (known as SOAP notes). Note that discharge summaries, prior invoices, health certificates, and general instructions alone are not considered complete medical records.

    Required Documentation

To help us process your claim quickly, you will need to provide copies of the itemized veterinary invoice(s), proof of payment/receipt, and detailed medical records (visit history, vet notes, lab results, etc.) We are unable to process a claim without your pet’s medical records.

    Required Documents

    • Itemized, legible veterinary invoice(s)
    • Provider’s name, address, and contact info
    • Proof of payment and treatment date
    • Detailed medical notes, diagnosis, lab results, etc.

PLEASE NOTE: If this is your first claim for your pet, please ask your veterinary hospital to include a copy of your pet’s complete medical history with doctor’s exam notes and any laboratory results.

    Tracking Claim Status

Once you submit your claim, our team will review the invoice(s) and any supporting documents. Claims are typically processed within 5 business days. If additional information is needed, we may contact your veterinarian directly, which could extend the processing time.

You’ll receive an email notification as soon as your claim has been completed. To view your claim details, please follow the instructions below:

    Reimbursement Options

Once your claim is approved, you’ll receive an email from the Odie team prompting you to log in to your Member Portal to select your preferred reimbursement method. We offer two options: ACH or paper check.

You can choose your reimbursement preference in your Member Portal, whether you’re using a desktop computer or a mobile device.

    ACH (Electronic Bank Transfer):

    • After selecting your payment preference, you will see a green check mark indicating the chosen option > Click Next.
    • Enter your Bank Account Type, Account Number, and Routing Number.
    • Reconfirm your Account Details.

Our payment processor will verify the Routing Number and Bank Account Number. If the verification is successful, you will receive a confirmation pop-up.

If we are unable to verify your details, you will receive an “Issue with Payment” pop-up. If you encounter this error, please attempt to re-enter your details.

ACH payments typically take 2-5 days to appear in your account.

    Paper Check:

    • Please verify or update your mailing address. Note: your mailing address will be saved for future payments.
    • You’ll receive a confirmation pop-up after clicking Submit.

Paper Check Reimbursement typically arrives in 5-7 days.

    Pet Health Report Card

To process claims accurately, we need to establish a clear picture of your pet’s health. Our claims team reviews medical records from the 18 months prior to your policy’s effective date—or shortly after—to help identify any pre-existing conditions.

If your pet is visiting the veterinarian for the first time or after a long gap, we offer an optional Pet Health Report Card you can bring to the appointment.

This tool helps your vet perform a comprehensive wellness exam and ensures we have the necessary information to support future claims.

    Filing An Appeal

If you disagree with our coverage decision on a claim, you can request a review through our appeals process.

To appeal, provide a clear explanation of why you disagree with our decision and include a letter from your veterinarian detailing the condition or incident, along with any relevant medical documentation.

Please email support@odieclaims.com with a completed Appeal Form and your veterinarian’s supporting documentation.

We strive to process appeals quickly—typically within 14 business days. However, more complex medical conditions or pets with extensive medical histories may take up to 30 days to review.

    How Claims Are Calculated

Odie Pet Insurance uses a direct reimbursement method to calculate claim refunds.

When you submit a claim, the amount you receive back is based on the following components:

    1. Co-Insurance/Reimbursement: This is applied first. It determines what portion of the actual veterinary cost we cover. A 90% reimbursement amount equals a 10% co-insurance. You are responsible for the co-insurance for each eligible claim.
    2. Annual Deductible: After the co-insurance is applied, your annual deductible is subtracted from the eligible reimbursement. You are responsible for this amount until your deductible has been met for the policy year.
    3. Annual Limit: The maximum amount Odie will reimburse within your 12-month policy term.

    Example: $1,500 Approved Claim

    Let’s say your policy includes:

    • 90% Reimbursement
    • $500 annual deductible
    • $10,000 annual policy limit
    $1,500 Invoice Amount
    –  $150 10% Co-insurance*(90% Reimbursement Percentage)
    –  $500 Annual Deductible
    $850 Reimbursement Amount

    Remaining Member Responsibility:

    You pay:

    • $150 (10% Co-insurance)
    • $500 (Deductible, only until it’s met)

    Total out-of-pocket: $650

    Total Reimbursement: $850

    Future Claim Balance

    • Annual Limit Balance: $9,150 ($10,000 Annual Limit – $850 Reimbursement)
    • Deductible Balance: $0 ($500 Deductible – $500 Applied)

    CANCELLATIONS

We understand that circumstances can change, and you may need to cancel your pet insurance policy. Below are the terms and conditions that apply to policy cancellations, including information on refund eligibility, how to submit a cancellation request, and what to expect once your policy is terminated.

General Accident & Illness Cancellation Terms

Our cancellation policy may vary based on when the request is made and whether any claims have been submitted.

    • Cancellation after the first 30 days: No refund will be issued, but your plan will remain active until the end of the current billing cycle.
    • If your pet has passed away or is lost: We’ll provide a refund retroactive to the date of loss. In some cases, we may need to request documentation to process this.

Additionally, your policy may be cancelled by Odie for:

    • Non-payment (with 10 days’ notice)
    • Intentional misrepresentation of your pet’s history
    • Any reason within the first 60 days of policy issuance
    • Other reasons as allowed by your state laws

In most cases, unpaid balances will be referred to a collection agency and may impact your credit.

    General Wellness Plan Cancellation Terms

Insured Requested Cancellation: You may cancel your plan at any time, subject to the following conditions:

    • First 30 days: You may cancel this plan for any reason within 30 days of the plan effective date for a full refund of any payments made, provided no claims have been submitted or processed under this plan. This will void the plan from the beginning, and any pending or not yet submitted claims will be denied.
    • After 30 days (no claims submitted or processed): You may cancel this plan at any time after 30 days from the plan’s effective date, provided no claims have been submitted or processed. While no refunds will be issued, your policy will be cancelled, and no further payments will be required.
    • After 30 days (submitted or processed claims) If a claim has been submitted or processed, mid-term cancellation is not permitted. No refunds will be issued, and the full remaining annual premium will be due at the time of cancellation. Your plan will remain active through the end of the current term.
    • In the event the unfortunate happens, and your furry family member passes or becomes lost, we will cancel and refund to the date of passing or to the date a pet became lost. Please note that proof may be requested.

    Cancellation by Us

We reserve the right to cancel your plan at any time and for any reason, including but not limited to suspected fraudulent activity. If we cancel your plan for any reason other than your non-compliance, we will waive any remaining payments and release you from further financial obligations under this agreement. Should we initiate a cancellation, you will receive a formal notice via email.

    Cancellation Due to Non-Payment

If you fail to pay any monthly installment by its due date, we reserve the right to cancel your plan immediately. In such cases, any pending or future reimbursement requests will be denied or closed, regardless of when they were submitted or when the treatment occurred.

At the time of cancellation, all remaining payments for the current plan term will become immediately due, and we may refer your account to a third-party collection agency for recovery.

    Re-Enrollment After Cancellation

If your plan is canceled, re-enrollment may be allowed only after the full outstanding balance is paid. We reserve the right to:

    • Deny re-enrollment or enforce a 12-month waiting period;
    • Apply new pricing, terms, and reimbursement limits;
    • Disallow reinstatement of prior plan pricing or payment frequency.
